How to Obtain Coffee Ware-houseman Certificate in Kenya by Kenyans247(m): Sat Feb 2020 10:04am
Applicants can apply any time within the financial year for consideration and licensing.

Fill the Warehouseman Certificate application form and attach all the required documents.
When filling the application form, make sure the information is correct and also indicate whether it is an application for a new license or renewal of a certificate.

Before submitting your application, make sure you have fulfilled all the requirements set by the Coffee Board of Kenya.

Submission of applications to the Board by interested persons may be via the e- mail of the Board or by physical delivery to the Board premises in Nairobi or to the Boards County field Offices.

Application forms are downloadable from the Boards website and fees payable during submission of application forms. All enquiries should be directed to the Managing Director Coffee Board of Kenya.

Required Documents
A certified copy of certificate of incorporation.
A certified copy of memorandum and articles of association.
A paid up share capital of not less than Kshs. 300,000.
Names of company directors, individual National ID/ Passport No, Pin Numbers and certificate of good conduct.
Names and addresses of two business referees.
Names of company directors, individual National ID, Passport No. Pin Numbers
Compliance with Statutory requirements, including but not limited to NEMA Certificate, Safety & Occupational Health Certificate and Local Authority Business Permit.
A certified copy of a comprehensive insurance cover from a reputable firm proportionate to volume of coffee handled as per insurance valuation.
Compliance with minimum specifications as required by Kenya Bureau of Standards KS1052,593,2221,175 (2011) or as amended from time to time.
A sworn affidavit by the applicant of their involvement by themselves, their servants, spouses, next of kin, holding companies, associated companies, or partnerships in the business of commercial dealers, management agents, warehousemen, pulping station or marketing agents.
Undertaking to furnish the Board with monthly stock returns.
Any other requirements that may be prescribed by the Board from time to time.
All applicants under paragraphs A, B ,C D, E, F and G will be subjected to an integrity vetting process and any false information provided by the applicants or other integrity issues will lead to prosecution and cancellation of the license.

Coffee board of Kenya is the industry regulator of the Kenyan Coffee industry. Among its functions is to carry out licensing of coffee nurseries, growers, pulping stations, millers, marketing agents, management agents, buyers, roasters, packers, warehousemen and auctioneers to ensure adherence to standards.

To this endeavour the board has put in place measures and procedures for applicants to follow for one to be licensed as an industry player.

Need for the Document
Warehouseman certificate authorizes the certificate holder to warehouse own coffee. Warehouseman means a person who conducts a ware-house where coffee is handled.

A Warehouseman certificate shall not be transferable
A Warehouseman certificate holder shall remit returns to the Board at such frequency and such format as prescribed by the Board
A Warehouseman holder shall be renewable by 30th June of every year upon payment of the renewal fees
A Warehouseman certificate holder shall facilitate inspections whenever conducted
A Warehouseman certificate shall comply with the national coffee standards and industry code of practice
A Warehouseman certificate holder shall maintain records at premises
The Board reserves the right to withdraw a certificate/ license

Service Charter

The Coffee Board of Kenya is the apex body for the coffee industry, established in 1934 after the enactment of the coffee industry ordinance in 1933. The Board was charged with the responsibility to carry out regulation and marketing of coffee. The auctions as a mode of selling Kenya coffee was established in 1934 and created in 1935 to enhance quality assessment through the grading. This role has changed over time through various amendments to the law. In 2001, the coffee Act cap 333 was repeated and the coffee Act No. 9 of 2001 enacted, establishing the Board as a statutory body under the Ministry of Agriculture, solely to regulate the coffee industry.

The object and purpose for which the Board is established is to promote competition in the coffee industry, production, processing and value addition including branding of Kenya coffee locally and internationally, and generally to regulate the coffee industry in the public interest. The following general objectives form the basis for the Boards activities:

To formulate policies and rules to regulate and develop the coffee industry in the consultation with the Ministry of Agriculture.
To carry out registration and licensing of coffee nurseries, growers, pulping stations, millers, marketing agents, management agents, buyers, roasters, packers, warehousemen and auctioneers to ensure adherence to standards.
Provide advisory services related to coffee production and quality enhancement.
Collect, collate, analyze data, maintain a database on the coffee industry and document and monitor it through registration of persons dealing with coffee.
Advise and guide Coffee Research Foundation in the carrying out of research in all matters related to the coffee industry.
Representing the Government in international for a in regards to coffee matters.
Arbitrate in case of any disputes in the industry.
Carry out other functions aimed at the promotion of the industry.
